A clear brief aligns expectations between the organizer, agency, and talent. For an exhibition, start with what you want visitors to do after interacting at the booth.

1. Jelaskan produk dan tujuan booth

Will the booth introduce a product, distribute samples, capture leads, or schedule meetings with the sales team? The goal determines the conversations and information to prepare.

Include an easy-to-understand product summary, target audience, key message, and anything that must not be promised to visitors. If prices or promotions are involved, make sure the materials are current for the event.

2. Pisahkan kebutuhan peran

Separate promotional work, guest reception, and operational support. Promotional staff can focus on product information, ushers on visitor flow, and support staff on agreed tasks. The phrase “booth talent” alone may not explain all the roles.

If the booth has registration, display, and meeting areas, assign responsibility for each one. Include who covers each area when team members take breaks.

3. Tuliskan waktu dan kondisi penugasan

Provide the event date, full venue, arrival and working hours, and any briefing needed before the booth opens. Share entrance access, meeting point, badge requirements, indoor or outdoor conditions, and the coordinator's contact.

For a multi-day exhibition, say whether the schedule is the same each day. Discuss changes to hours or duties early so staffing, breaks, and the quote can be aligned.

4. Siapkan materi product knowledge

Materials do not need to be long. Prioritize the product explanation, substantiated benefits, FAQs, and limits on what may be shared. Provide a route to the product team for technical questions.

If you plan to capture leads, specify the data you need, how visitors' consent will be requested, and which tools will be used. Do not ask staff to collect personal data without the organizer's direction.

5. Sepakati penampilan dan kebutuhan khusus

Include dress-code references, footwear requirements, language needs, and the brand's communication style. Clarify who will provide clothing or equipment. Specify any particular skills so availability can be discussed.

Budget, team size, and duration help shape a quote. Choose talent based on role fit and communication needs, not photos alone.
